4. Access and confidentiality

Access is limited to people who need information for their work. Team members and service providers must respect confidentiality and use personal information only under authorised instructions.

We use proportionate safeguards and review risks when systems or working practices change. Suspected loss, unauthorised access or disclosure must be reported promptly so it can be contained, assessed, documented and, where required, reported to affected people or the Information Commissioner’s Office.

6. Retention and disposal

Information is retained according to its purpose and applicable business or legal requirements. When it is no longer needed, it is securely deleted, destroyed or anonymised.

7. Suppliers and transfers

We take reasonable steps to use providers that protect personal information appropriately. Where information is transferred outside the UK, we assess and use an appropriate lawful transfer mechanism where required.
